We built XICBOT because we are convinced that an assistant only becomes truly useful once it really knows the company — its services, products, prices, opening hours and documents. A generic chatbot can phrase things politely and in many languages, but as soon as a visitor asks about the specific product, the right appointment or the exact service, its knowledge ends. This is exactly where we come in. A XICBOT assistant is trained on a single company and knows its website content, the shop catalogue with prices and availability, opening hours, documents and the internal knowledge base. It reads this knowledge, carries out real actions on request and hands complex matters over to a human. A pleasant chat window thus becomes an employee that advises, sells and books appointments. For us, data protection is not a footnote but a fundamental decision. Hosting and data processing take place in Germany and the EU, every project is governed by a data processing agreement, and data sovereignty stays with you. On request we use European or self-hosted language models so that no content flows into unsafe third countries. How we implement this in detail is covered under data protection and hosting. It matters to us that you can entrust an assistant with your customer data in good conscience.

We are based in Söhlde in Lower Saxony, between Hildesheim and Hanover. We support companies in the region in person and with on-site meetings, and beyond that we work nationwide via video call, phone and email. Because an assistant is trained and integrated just as carefully from a distance as one next door, your location plays no role in the collaboration — your dedicated contact stays the same in any case. Whether you are in Hanover, Hildesheim, Braunschweig or at the other end of the country makes no difference to the quality of the assistant; what matters is how carefully we capture and integrate your content.

Why We Built XICBOT

The reason for XICBOT was a recurring observation: many companies invest in a good website or a well-kept shop and still lose enquiries because no one can answer around the clock. The phone rings into the void outside business hours, emails sit overnight, and in the shop visitors drop off because their question about size, delivery time or the right product goes unanswered at the decisive moment. An assistant that knows the business and answers immediately closes exactly this gap — not as a technical gimmick, but as an employee that catches standard questions and frees your team for the important cases.

For us it is not about technology for its own sake, but about measurable value. An assistant answers questions in seconds, qualifies enquiries with targeted follow-up questions and turns visitors into contacts or buyers. Through conversation analytics you see which questions are asked frequently, where knowledge gaps exist and which products are in demand. This way the assistant not only improves service but also provides pointers on how to develop your website and offering further.

In sales in particular this pays off. Around 70 percent (Baymard Institute) of online shopping carts are abandoned, often because of open questions shortly before purchase. It is not meant to replace your team or to decide in areas where a human is needed. With sensitive topics — such as complaints, legal or health questions — the assistant gives no binding advice but points the way and hands over to a human. This keeps responsibility where it belongs.

We draw this line deliberately. An assistant that pretends to know everything quickly loses visitors' trust. An assistant that clearly states what it knows, what it can do and when a human takes over is the more credible and more useful one in the long run. We would rather say openly that a question needs a human than give a fast but uncertain answer.
